Key Responsibilities:
- Client Interaction:
- Greet clients and visitors warmly, ensuring a positive first impression.
- Answer, screen, and route incoming calls promptly and professionally.
- Respond to client inquiries or direct them to the appropriate team member.
- Gathering preliminary client data.
- Office Support:
- Manage appointment scheduling and maintaining the office calendar.
- Prepare meeting rooms, ensuring they are clean, organized, and equipped with necessary materials.
- Handle incoming and outgoing mail and courier services.
- Maintain and order office supplies as needed.
- Administrative Duties:
- Assist with basic administrative tasks such as filing, data entry, and document preparation.
- Monitor and maintain confidentiality of client information in compliance with firm policies.
- Technology Coordination:
- Utilize office management software, CRM systems, and other tools to support scheduling and client service.
Qualifications:
- Education & Experience:
- High school diploma or equivalent; additional certification in office administration is a plus.
- Previous experience in a receptionist or administrative role, preferably in a financial or professional services environment.
- Skills & Attributes:
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities in a fast-paced environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Professional demeanor with a focus on delivering exceptional client service.
- Personal Traits:
- High level of discretion and confidentiality.
- Ability to work independently while being a supportive team player.
- Friendly and approachable personality with a "can-do" attitude.
