Key Responsibilities:

  • Client Interaction:
    • Greet clients and visitors warmly, ensuring a positive first impression.
    • Answer, screen, and route incoming calls promptly and professionally.
    • Respond to client inquiries or direct them to the appropriate team member.
    • Gathering preliminary client data.
  • Office Support:
    • Manage appointment scheduling and maintaining the office calendar.
    • Prepare meeting rooms, ensuring they are clean, organized, and equipped with necessary materials.
    • Handle incoming and outgoing mail and courier services.
    • Maintain and order office supplies as needed.
  • Administrative Duties:
    • Assist with basic administrative tasks such as filing, data entry, and document preparation.
    • Monitor and maintain confidentiality of client information in compliance with firm policies.
  • Technology Coordination:
    • Utilize office management software, CRM systems, and other tools to support scheduling and client service.

Qualifications:

  • Education & Experience:
    • High school diploma or equivalent; additional certification in office administration is a plus.
    • Previous experience in a receptionist or administrative role, preferably in a financial or professional services environment.
  • Skills & Attributes:
    • Excellent verbal and written communication skills.
    • Strong organizational and multitasking abilities in a fast-paced environment.
    • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
    • Professional demeanor with a focus on delivering exceptional client service.
  • Personal Traits:
    • High level of discretion and confidentiality.
    • Ability to work independently while being a supportive team player.
    • Friendly and approachable personality with a "can-do" attitude.
